Risk Assessments and Notification Flowchart

 
As a committee member you are responsible for organising activities for the members of your group. You need to make sure that these activities are as safe as possible as you have a legal responsibility towards your members for their Health & Safety. Risk Assessment Process
 
 
  • Your group must submit an annual risk assessment before you organise your first activity. Click here for an annual risk assessment template.
  • Risk assess all the activities you know you will be organising and submit to Student development. You do not need to know the dates or location, just the type of event.
  • You can update your risk assessment throughout the year and re-submit it to studentgroup@guild.bham.ac.uk.
  • You must not go ahead with the activity until it has been signed off by Student Development staff. 
  • Your annual risk assessment will cover most low-risk activities such as meetings so you don’t need to let us know about the specific times you’ll be having those unless it comes under one of the high risk categories
  • If something goes wrong on your activity, you must complete an incident reporting form and hand it into Student Development. We have a duty to keep a record of and, where appropriate, to report incidents to the Health & Safety Executive.

 

High Risk Activity

High risk activities have a greater chance of going wrong, or have much worse consequences if they do go wrong, than low risk activities. That’s why we ask you to complete a cover form for certain types of high risk activities. They act as a checklist to ensure you don’t forget important details and your activity is as safe as possible.
 
Activity that costs £250 or more, or with any committee member spending more than £50:
 
  • Complete budget cover form and submit to Student Development a minimum of 3 weeks before the activity (click here)
  • Update annual risk assessment and submit to Student Development
 
Trips abroad:
 
  • Complete trips abroad cover form and submit to Student Development a minimum of 8 weeks before your trip. (click here)
  • Update annual risk assessment and submit to Student Development
 
Activity that takes place outside of Birmingham:
 
  • Complete remote activities cover form and submit to Student Development a minimum of 2 weeks before your trip. (click here)
  • Update annual risk assessment and submit to Student Development
 
Extreme Sports:
 
  • Complete extreme sports cover form and submit to Student Development a minimum of 2 weeks before your activity. (click here)

Bar crawl, or event held in a pub/club/bar:
 
  • Complete bar crawl cover form and submit to Student Development a minimum of 4 weeks before your activity. (click here)

Food being prepared and/or served on campus:
 
  • Complete stall and food cover form and submit to Student Development a minimum of 2 weeks before your activity. (click here)

External Speakers/film showings:
 
  • Complete Speaker Request cover form and submit to Student Development a minimum of 2 weeks before your activity. (click here)

Volunteering with children and/or vulnerable adults:
 
  • Complete Volunteering cover form and submit to Student Development at the beginning of each term before you start to volunteer.
